Set Up Your Regional Seller Account

What you will learn
After this module, you should be able to explain the independent Marketplace Seller role, complete account and bank readiness checks, separate Marketplace activity from the Regional Seller Agreement and FPS, identify authorised users, verify Approved Seller Locations and serviceability, and complete the go-live readiness check.
1. Understand your Regional Seller role
A franchise partner becomes a Regional Seller only after separate Marketplace approval and activation. The Regional Seller is the independent seller of record for each Marketplace customer sale and remains responsible for lawful product supply, physically available Marketplace inventory, customer invoicing, fulfilment, after-sale cooperation and evidence.
Marketplace participation is separate
The Regional Seller Agreement governs the physical franchise relationship. FPS may support procurement or supply activity. The Regional Seller Agreement governs Marketplace participation. One relationship does not automatically create, amend or terminate the others.
You must
• Use the correct legal entity and approved Regional Seller Account.
• Use the Marketplace Seller Account, approved location and Marketplace customer invoice for Marketplace sales.
• Maintain Marketplace inventory, orders, returns, settlements and support records separately from FPS procurement and offline franchise records.
• Supply genuine, lawful and approved products.
• Follow the accepted Marketplace agreement, commercial schedule, policies, SOPs and current Seller Portal workflow.
You must not
• Treat the Regional Seller Agreement or FPS access as automatic Marketplace activation.
• Record a Marketplace customer sale as an FPS procurement transaction or ordinary offline franchise sale.
• Use another seller’s account, location, bank details or tax identity.
• Accept an order that is not system-eligible from the allocated Approved Seller Location.
• Share credentials or allow unauthorised personnel or vendors to operate the Seller Account.
2. Complete legal, tax and bank verification
Confirm the legal name, entity type, PAN, GSTIN where applicable, registered/business address, authorised signatory, primary contact, grievance contact, bank beneficiary and other requested KYC/KYB information. Seller Portal information must match supporting documents. Report material changes through the approved Marketplace workflow.
Bank and payout safety
Use a bank account held in the approved Seller’s name or otherwise accepted through verification. Independently verify sensitive account or bank-detail changes. Never share an OTP, password, UPI PIN, card PIN/CVV or banking authentication secret with a person claiming to process a change.
3. Accept the correct Marketplace Terms Package
Review the exact Regional Seller Agreement, Commercial Schedule and applicable Marketplace documents presented for acceptance. Confirm the displayed commission and Seller-specific values before Electronic Acceptance. Preserve the acceptance record and applicable document copy.
Acceptance of Marketplace documents does not replace or automatically amend the Regional Seller Agreement. Learning completion is not contractual acceptance.
4. Establish Marketplace/FPS separation
Set up a clear operating separation:
□ Regional Seller Account ID is recorded.
□ Marketplace customer invoices use the correct Seller legal entity and applicable GSTIN.
□ Marketplace orders, cancellations, returns and RTOs are recorded in the Seller Portal.
□ Marketplace settlement and dispute records are not mixed with FPS procurement ledgers.
□ FPS purchase invoices are retained as source evidence where relevant, but the later Marketplace customer sale is recorded separately.
□ Marketplace customer data is not added to offline franchise marketing lists without an authorised legal basis.
□ Marketplace exit or suspension is not treated as automatic termination of the physical franchise relationship.
5. Set up authorised users
Create named, attributable users with the minimum permissions required. Separate account administration, product/stock operations, order processing and finance access where practical. Remove or reduce access promptly after a role change, resignation, vendor change or suspected compromise. Use MFA where supported or required.
Account safety check
□ Each user has an individual login.
□ Passwords and OTPs are not shared.
□ Former employees and vendors no longer have access.
□ Bank-detail and sensitive account changes are independently checked.
□ Material Security Incidents can be reported within 24 hours.
6. Verify Approved Seller Locations
Each Marketplace Seller Location requires verification and Active status. Approval of one location does not approve another. Confirm address, pincode, operating hours, pickup contact, tax linkage, return/RTO destination, parcel limits, pickup cutoffs and logistics mapping.
Regional Seller serviceability
Ordinary Marketplace scope may include same-city and statewide fulfilment when the specific order is system-eligible from an Approved Seller Location. No default 10 km cap applies unless specifically configured. National or special inter-State fulfilment beyond ordinary approved state scope requires separate approval and accepted commercial/serviceability configuration.
7. Confirm tax and invoice readiness
Verify GST registration and product-tax information where applicable, customer invoice series, legal name, address and GSTIN. Do not guess HSN/GST or manually alter system-approved order values. Obtain qualified tax advice where treatment is unclear; this material is operational guidance, not tax advice.
8. Complete the go-live readiness check
Do not begin live Marketplace fulfilment until:
□ Legal entity, PAN/GST and bank beneficiary are verified.
□ Regional Seller Terms Package is electronically accepted.
□ Marketplace/FPS separation controls are established.
□ Approved Seller Locations and return/RTO routes are Active.
□ Authorised users and backup order owner are available.
□ Approved categories, brands and products are identified.
□ Invoice, printer/label and packaging process is tested.
□ Device, camera and Seller Portal photo-upload process is tested using a safe sample order.
□ Marketplace stock-update process works separately from FPS/offline records.
□ Courier handover and evidence process is understood.
□ Support, grievance, counterfeit/safety and security routes are understood.
Practical task
Using the actual Seller Account or a safe training copy, complete an Account Readiness Note containing: Seller legal name; Seller Account ID; Approved Seller Locations; return/RTO locations; Marketplace/FPS separation controls; authorised users and roles; bank beneficiary status; GST status; invoice readiness; camera/photo-upload readiness; backup order owner; and unresolved items. Do not record passwords, OTPs or bank authentication data.
